Using the Data Repository at the Institute for Solid State Physics

Summary

The Institute for Solid State Physics has started operating a data repository to accumulate and utilize research data in materials science. The data management system uses GitLab, and a portal site is provided as a data registration and retrieval system. The portal site enables users to search for registered datasets. This data repository makes it possible to store and publish research data that formed the basis of published papers and datasets valuable to the field of condensed matter science.

How to apply for use

Access to the data registration application page is password-protected by BASIC authentication. A Principal Investigator on the ISSP Supercomputer Joint Use who would like to register data related to the research projects in this data repository should contact us at datarepo__at__issp.u-tokyo.ac.jp (please change __at__ to @) (note that the default capacity is set to 2 GB per project). Upon receipt of your registration request by email, you will be sent instructions to access the registration page. The process that follows registration is shown in the figure below. In addition, a list of FAQs about the data repository has also been created for a reference when preparing your application.

 

Institute for Solid State Physics Data Repository Data Policy

The following policies govern the operation of this data repository (Version 1.1, November 9, 2021).

    • Data format
      Data recorded by electromagnetic methods
    • Types of data
      Research results that have been publicly released in papers, databases, etc. (including the tools, software, manuals, etc. necessary in using the data). Unpublished materials that are expected to find use in the field of materials science and solid state physics.
      The default maximum capacity of the repository is 2 GB. Should this capacity be insufficient, the Institute for Solid State Physics may be contacted; after that, the maximum capacity will be increased should the Institute deem it appropriate.
    • Disclosure and provision of research data
      Research data are published in a form suitable for access on the Internet.
      The data repository may be accessed in two ways: from the website or the Character User Interface (CUI). Basic operations such as registering, searching, and downloading databases are performed from the website. Upon accessing the site, a URL that provides direct access to the data is also displayed to enable all activities, from downloading to data analysis, to be performed seamlessly on the CUI. As a premise, the research data should be made publicly available as open data. However, the data provider may choose not to publish the data for five years after their registration.
      As a general rule, open data are published under a Creative Commons License, and password authentication can be set in other cases.
      The data provider determines the conditions for providing research data (e.g., an indication of the source of the data in the form of a citation) at the time of registration. However, as a general principle, to enable database users to specify and search for research data, it is necessary to enter metadata about the stored data (the DOI of related papers, license, keywords, public settings, etc.). Data providers are additionally requested to add a description of the data when making it available to third parties.
    • Disposal of research data
      As a general rule, research data should be stored as long as possible (at least for ten years), but in the event of cost or resource problems, the stored research data may be disposed of at the discretion of the ISSP.
    • Handling of research data
      Matters relating to copyright, etc., are handled by the institution’s policies to which the data provider is affiliated as long as they do not in conflict with the operating policies of this repository as described in this document.
    • Disclaimer
      The ISSP is not responsible for the collection, storage, disclosure/provision, disposal, or other handling of research data in this data repository or for any damage arising from such research data.
